Personal Information Protection Policy

Altius Link, Inc. (the “Company”) has established its Personal Information Protection Policy as described below, keenly aware that it handles a lot of personal information, including personal information of its client companies and their customers, as well as its own employees and staff. The Company considers that safeguarding personal information is its social responsibility.
The Company will properly and appropriately manage personal (customer) information that it has acquired or been entrusted with, making ongoing efforts for the protection of personal information and unceasing efforts to remain a company that is trusted by all.

  1. Acquisition and use of personal information

    When acquiring personal information, the Company will obtain, use, and provide it under proper standards, after clearly determining the purpose and scope of use. Furthermore, the Company implements measures to ensure that it will not use the information except for properly determined purposes.

  2. Acquisition and use of personal numbers

    The Company will acquire and use personal numbers and specific personal information in accordance with the Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures, and only for the purposes of use stipulated in that Act.

  3. Restrictions on use other than for prescribed purposes; provision to third parties

    The Company will not use personal information for any other purpose, or provide it to any third party, without your consent, except as required by legislation or with your prior consent.

  4. Security control measures; corrective measures

    To ensure the accuracy and security of personal information, the Company implements measures to control access to personal information, to limit the means of conveying personal information off premises, to prevent unauthorized access from the outside, and to prevent leakage, loss, or destruction of personal information, in accordance with information security rules and regulations. When a security protection problem is perceived, the Company will identify the cause of the problem and take corrective measures.

  5. Compliance with legislation, regulations, national guidelines, and customary norms

    The Company complies with legislation, regulations, national guidelines, and customary norms on personal information and designated personal information.

  6. Continuous improvement

    The Company maintains a personal information protection system to manage the appropriate use and protection of personal information, and strives to administer and improve this system without interruption.

  7. Handling of complaints; consultations, etc.

    The Company will respond without delay to your requests for the disclosure, correction, deletion, suspension of use, etc. of your personal information, as well as your complaints and requests for consultation, while respecting your rights with regard to personal information.

Handling of Personal Information

With regard to the handling of personal information, Altius Link, Inc. (the “Company”) recognizes the importance of safeguarding personal information, reflecting the principle that customer trust is the starting point for all business activities. The Company has established this policy on handling the personal information it has been entrusted with, and strives for the appropriate use and safe management of personal information.

Purposes of use of personal information

  1. Employee recruitment activities; services related to worker dispatching business and temp-to-perm worker dispatching business
    The personal information you provide when you apply for employment or register as a dispatch staff employee will be used when you are selected as a candidate for hiring and registration, and used also when sending you a screening notification.
    In addition, personal information that is submitted directly by a subject individual, an employee, etc., or provided by a destination office, will be used for such purposes as employment management, labor management, and employee welfare.
  2. Services related to products, services, marketing activities, and surveys that customers have requested the Company to provide
    (Telegrams within Japan (correspondence delivery services), voice guidance creation services, insurance agency services, travel agency services, document request services, estimate request services, issuance of certificates, etc.)
    Personal information registered by customers upon provision of the Company’s products and services will be used for operations related to those products and services, for marketing activities and surveys related to the Company’s services, and for making contact in the event of a disaster or other emergency as deemed necessary.
  3. Personal Information Protection Contact Desk
    Personal information received from you when you contact the Company’s Personal Information Protection Contact Desk will be used only for responding to your request.
  4. Contact center services; other delegated services
    Personal information whose handling is delegated to the Company as part of contracted services, such as contact center services, will be used only to the extent necessary to achieve the purpose of the contracted services, in accordance with our contract with the client company and its instructions.
  • Note that, while your provision of personal information is voluntary, not providing it may result in your being unable to use services the Company provides.
    When acquiring personal information on specific products and services, we will post the purpose of use and other such content in relevant informational materials and on web pages.
  • When you contact us by telephone, we may record our conversation with you to improve the quality of our response service and to check call content.
  • Personal information referred to in (4) above is not retained in the Company’s personal information data bank.

Provision of Personal Information to a Third Party

The Company does not provide personal information to a third party except in the following cases.

  • When you have given your consent
  • When required by legislation or regulations
  • When it is necessary for the protection of life, person, or property, and it is difficult to obtain your consent, such as during an emergency
  • When it is particularly necessary for improvement of public health or promotion of the sound development of minors, and it is difficult to obtain your consent
  • When there is a need to cooperate with a national government entity, local public organization, or person entrusted by them to execute a duty prescribed by legislation or regulations, and obtaining your consent risks impeding the execution of such a duty
  • When providing personal information to a third party is within the scope necessary to achieve the purpose of use

Delegating the handling of personal information

In order to provide you with well-ordered services and to ensure its business activities are conducted effectively, the Company may delegate the handling of registered personal information to a business entity whose personal information protection system is deemed by the Company to meet defined standards.

Provision to a third party located outside Japan

Within the parameters of a service agreement between the client company and the Company, or for internal administrative processing purposes, the Company may delegate (subcontract) services, including the handling of personal information, to a group company or the like outside Japan (“Overseas Group Company(ies), etc.”).

  2. Measures necessary for safeguarding personal information
    Under rules prescribed by the Personal Information Protection Commission, the Company will implement measures necessary to ensure the regular implementation of appropriate measures by Overseas Group Companies, etc. in their handling of personal information, and will provide information regarding such measures to the principal upon the principal’s request.

Requests for disclosure, etc. of retained personal data; filing of complaints

With regard to personal information retained by the Company, if you wish to request a “Notification of purpose of use, disclosure, correction, addition or deletion of content, suspension of use, erasure, or suspension of provision to a third party,” or to request a “Disclosure of record of provision to a third party” (“Disclosure, etc.”), or if you wish to file a complaint, contact the Company’s Personal Information Protection Contact Desk. After confirming your identity, we will respond to you as soon as reasonably possible. Note that we may charge a fee for requests in accordance with the Company’s regulations.

  • We will refrain from disclosure if any of the following apply:
  1. If the act of notifying the principal of the purpose of use or publicly announcing it would risk harming the life, person, property, or other rights or interests of the principal or third party
  2. If the act of notifying the principal of the purpose of use or publicly announcing it would risk harming the rights or legitimate interests of the Company
  3. When there is a need to cooperate with a national government entity or local public organization in the execution of its duties as prescribed by legislation or regulations, and notifying the person in question of the purpose of use or publicly announcing it would risk impeding the execution of such duties

    1. Send the documents detailed in “(2) Required documentation” below to the Company’s Personal Information Protection Contact Desk.
      If you contact the Contact Desk with an inquiry regarding personal information (see 2. below), the Desk will send you the request form.

      • One copy of the principal’s ID (e.g., front side of Individual Number Card, driver’s license, passport, national pension book, extract from family register)

    3. Fee and method of fee collection
      The following fee will be charged for a “Request for disclosure,” “Notification of purpose of use,” and “Disclosure of record of disclosure to a third party.”

      • Transfer 1,100 yen (including tax) per request to the bank designated by the Company.

      1. No fee will be charged for “Correction/addition of content,” “Deletion,” “Suspension of use,” “Erasure,” or “Suspension of provision to a third party.”
    4. Response to “Request for Disclosure, etc.”
      We will respond to the address you provide on the Request Form for Personal Information Disclosure, etc.
    5. Request via a representative
      With regard to a request via a representative, the Personal Information Protection Contact Desk should be contacted.

Measures to ensure the safe management of personal information

  1. Establishment of basic policy
    To ensure the proper handling of personal information, we have formulated the “Personal Information Protection Policy” pursuant to “Compliance with relevant legislation and guidelines,” “Matters related to security control measures,” and “Contact desk for handling questions and complaints.”
  2. Development of rules on handling personal information
    We have established personal information handling rules that stipulate handling methods and identify responsible managers/persons and their duties from acquisition, use and storage to provision and deletion/disposal.
  3. Organization security control measures
    1. We have appointed staff who hold responsibility for handling personal information, clearly designating such employees who handle personal information and the scope of personal information they handle. We have also developed a system for reporting to and communicating with responsible staff after a violation of legislation or rules, or any such indication, is discovered.
    2. We conduct periodic self-inspections of the status of personal information handling, and audits by other departments and outside parties.
  4. Security management measures for staff
    1. We conduct regular training sessions for employees on points of concern regarding the handling of personal information.
    2. Matters related to personal information confidentiality are highlighted in our employment regulations.
  5. Physical security control measures
    1. In areas where personal information is handled, we limit employee entry and exit, place restrictions on the equipment and devices they bring in, and implement measures to prevent unauthorized persons from viewing personal information.
    2. We implement measures to prevent the theft, loss, and damage of devices, electronic media, documents, etc. that handle personal information, and measures to ensure that personal information is not easily revealed when such devices, electronic media, etc. are transported, including relocation within the business site.
  6. Technical security control measures
    1. We enforce access controls to restrict personnel and to limit the scope of the database used to handle personal information.
    2. We have installed frameworks to protect personal information handling systems from unauthorized outside access and malware.
  7. Assessment of external environments
    If the Company plans to outsource the handling of personal information to an Overseas Group Company, etc., it will first assess the personal information protection system in that foreign country, and the Overseas Group Company, etc. will take steps to ensure continued implementation of security control measures safeguarding personal information.
